Virtual Assistant with Project Management Skills

About This Job:
This role is a mix of work-from-home as well as video collaboration via Zoom. This position reports directly to our CEO, while also working closely with other key members of the team.
 
This position isn’t always a 9-5 role. This position involves working some evenings and weekends, and at times, responding to team members outside of work hours. Also, because our business uses an online business model, a few times per year there will be the need to work additional hours on evenings and weekends preparing for program launches.

The Virtual Assistant Role is full-time and very important to our business and oversees all of the daily/weekly monthly operational and administrative projects along with keeping the team on deadline using our project management system.
Roles & Responsibilities:
The following are the responsibilities of this role:
  • Handling members needs in our signature course (Answering questions, posting documents, videos etc)
  • Managing Google Calendar to ensure program events are scheduled
  • Making sure client delivery deadlines are met
  • Handling customer service questions via member portal
  • Managing the Facebook group
  • Writing outreach emails to potential clients
  • Provide customer support on webinars
  • Supervise billing and client accounts
  • Send DM message on Facebook and Instagram to Set appointments for potential clients to meet with the CEO
  • Edit and post client call recordings 
Requirements & Qualifications:
We are looking for a rockstar Virtual Assistant who will work alongside the CEO of a growing women's empowerment company to lead the daily operations of the business. This role is for an experienced, highly skilled VA who is available for full-time work and does not have another job or want to do freelancing work. 

Our dream candidate 
  • Has experience using a project management system like Trello, ClickUp or Asana to coordinate tasks with the team
  • Has excellent English speaking AND writing skills and is not afraid to have phone conversations with clients or DM chats on Social media
  • Has scheduled emails and social posts using a scheduling software 
  • Is extremely detail-oriented and checks their work to make sure it's accurate 
  • Is a self-starter and can get things done once you have been trained on how to do it or have a step-by-step guide or cheat sheet. 
  • Is available to work part of the day during USA morning hours to overlap with the team
  • Is a problem solver who can get things done way ahead of the deadline
  • Has the ability to do minor video edits 
  • Is comfortable working in a fast-paced environment and managing different priorities 
    • Time management and ability to meet deadlines
    • Proven experience in an administrative role
    • Excellent English verbal and written communication skills
    • Takes ownership and pride in their work
    • Adapts really well to changes on-the-go
    • Is tech savvy
    • Can handle direct & blunt feedback and course-correct as necessary
    • Ability to juggle multiple projects simultaneously —gets things done, meets deadlines and keeps promises.
    • Insane attention to detail

    • Not locked into working 9-5, but embraces an “until it gets done” attitude
