Roles & Responsibilities:
Examples of Tasks You Will Execute Directly
NOTE: I am completely fine to also consider finding other VA’s or freelancers you can oversee to execute some of these tasks versus doing them directly
  1. Drive overall calendar, task management and timeline of CEO
  2. Email management of CEO account and also email from own account
  3. Write processes for entire job role and including org chart of roles for handoff should VA not continue in role
  4. Meeting and Appointment setting
  5. Arranging Business travel for executive
  6. Registration for all upcoming events
  7. Workshop and speaking engagement follow-up with coordinators to get over bio, description, etc information to promote the event
  8. Create or modify documents/powerpoint slides for presentations/workshops/meetings
  9. Dictating Notes for all meetings, following up, delegating all actions items appropriately
  10. Attend webinars, read books, review videos and take summary notes
  11. Personal research and tasks - plan trips, research topics, organize photos
  12. Pay bills as needed
  13. Final pass review of written content for final approval - blogs, press releases, etc.
  14. Send follow up/thank you letters from all trade shows/events
  15. Organization: Maintain all documents, files and supplies (paper files & Highrise) and ensure all information is organized and accessible.
This is initially a part-time position (during training) and will transition into a full-time upon mastering the skill set.
Requirements & Qualifications:
Basic Requirements
  • Time Commitment
    • 40+ hours per week
    • Available during Central Standard Time
    • Flexible (Available during nights and weekends)
  • Experience
    • 4+ years experience as a Virtual Assistant and/or Project Manager serving high-performing, fast-paced entrepreneurs and/or business owners
    • Fluent in English - both verbal and writing
  • Skills and Technical Knowledge
    • CRM Project Management Software Experience preferred
    • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
    • Administrative Experience (preferred)
    • Expert level written and verbal communication skills
