Online Retail & Wholesale Assistant

About This Job:
Work schedule: 7am – 4pm Pacific Standard Time, Monday-Friday
If selected for the role you will help be supporting the Client Manager with handling tasks related to wholesale and retail sales. The tasks will vary day to day but will include the responsibilities listed below. As the Retail/Wholesale Assistant you will be communicating directly with:
  • Wholesale partners to answer questions about pricing and availability of products, this will include occasional calls to the US.
  • Internal logistics department for freight pick up
  • Internal warehouse teams for product availability, shipment preparation, labelling expectations and coordinating shipment pick up confirmation and obtaining signed BOLs
  • Internal Accounting to ensure payment was received properly before shipping
You will need to learn quickly, think intuitively and have the ability to see when things can be done more efficiently. Having the drive and confidence to suggest improvements to managers is important along with a pleasant working attitude and demeanor when communicating with internal and external teams.
Roles & Responsibilities:
  • Filling out spreadsheets with item specific info
  • Quickly responding to all client emails
  • Obtaining approval on price changes from higher ups
  • Coordinating with the Logistics teams and various warehouses to ensure prompt and smooth shipping of bulk orders
  • Ensure all shipping deadlines and labelling/packing rules are meant depending on the account being handled
  • Reaching out via phone to confirm orders and give updates to accounts
  • Reconciling POs with invoices and payments made
  • Sending weekly sales reports
  • Updating Google Sheets with wholesale order data, tracking and payment status
  • Communicating with the internal Graphics team to get catalogs and price sheets made
  • Updating listings on our wholesale and deal sites with new products, pricing, images, etc.
  • Proactively reaching out to past resellers and potential future partners with catalogs and price sheets
  • Any other tasks which the Company reasonably requests to be performed
Requirements & Qualifications:
  • Learn quick
  • Think intuitively
  • Be very organized
  • Monitor all trackers accurately at all times
  • Amazon seller central knowledge is a huge plus
  • Excel skills which include formula building and vlookups is a MUST.
  • MUST have experience and knowledge of excel vlookups
  • MUST have experience with Googlesheets
  • MUST have prior experience executing the responsibilities mentioned above
  • Willingness to wear multiple hats and not be flexible to do tasks outside of the main job responsibilities.
